Employment Based Audits (For Waivers)

The International Office audits all waivers requested on the basis of an academic assignment. Audits are conducted according to the following schedule:

Fall/Spring

  • When: 2nd Monday of Oct (Fall) & March (Spring)
  • Audit Criteria: The academic assignment must maintain final approval for the full duration of the insurance coverage period.
  • Action Taken if Audit Criteria is not met: Students that do NOT have UT Select coverage for the full duration of the required insurance coverage dates will fail the audit. Students who fail the audit on the 2nd Monday are enrolled in the student insurance plan through Academic Health Plans/Blue Cross Blue Shield and billed automatically. NOTE: An email warning will be sent to the student one week prior (i.e. on the first Monday of the month) regarding possible audit failure.
  • Getting Help: Once a student has been billed for insurance, waivers will not be accepted and refunds cannot be issued.

Fall/Spring

  • When: 11th class day of the semester
  • Audit Criteria: The academic assignment must be initiated in HRMS and routed off the creator’s desk before 5 p.m.
  • Action Taken if Audit Criteria is not met: An email warning will be sent to the student on the 3rd and 8th class days regarding possible audit failure. The student must initiate the correction of the problem with his or her employing department. Students who fail the audit on the 11th class day are enrolled in the student insurance plan through Academic Health Plans/BlueCross BlueShield and billed automatically.
  • Getting Help: To resolve HRMS assignment and routing issues, please contact HRMS Support online or call 232-7316. Note: ISSS cannot resolve HRMS assignment issues.

Summer

Departments: Please remind your graduate students that they should request a waiver only when they have a reasonable expectation of receiving a benefits-eligible academic assignment for at least 20 hours/week. You may wish to consult Human Resource Services for benefits eligibility requirements.

If you plan to split your graduate student’s employment between two or more appointments in HRMS, please contact Human Resource Services to determine whether your student will have UT Select coverage for the full duration of the required insurance coverage dates.
